Role Description
The Programmes Coordinator manages the AER’s three flagship programmes: Eurodyssey, the Summer Academy and the Youth Regional Network (YRN). This entails network management, event organisation, advocacy, as well as budgetary and administrative tasks related to the Programmes’ functioning.
The Programmes Coordinator reports directly to the AER Secretary General and to the Programmes’ Presidents.
Key Responsibilities
- Coordination, management and development of the AER’s Programmes (Eurodyssey, Summer Academy, Youth Regional Network), of their activities, and of their steering committees.
- Member relations: supporting and liaising with member regions in the Programmes; following up on requests.
- Planning and organisation of events (from 100+ participants to smaller capacity-building activities), including coordinating multi-disciplinary teams (members in the steering committees, young volunteers, colleagues, facilitators, service providers…).
- Coordinating the participation of YRN members in external youth events, networks and platforms.
- Policy and advocacy: drafting position papers, policy recommendations, briefing notes, concept notes, liaising with EU officials, European institutional stakeholders, regional partners.
- Budgetary tasks: building, monitoring and reporting on the programmes’ budgets; preparing invoices.
- Administrative and statutory work: memorandums of understanding for the Programmes’ statutory events; reporting of the Programmes (Eurodyssey annual report; AER Activity Report; working documents for the AER governing bodies); planning meetings, drafting agendas, minutes, briefing notes; liaising with the Eurodyssey insurance.
- Management of the Eurodyssey website (editorial content and practical support to the regions), with the support of the web developer for technical matters.
- Supervision and mentoring of the Programmes Assistant (trainee under the Eurodyssey programme).
Person Specification
- Master’s degree in a subject related to AER work (e.g. Political Science, European Studies, International Relations, or other courses related to this profile).
- Minimum 3 years of experience in event organisation, project or programme management, network management (members, partners…), knowledge transfer methods.
- Volunteer experience is an asset and will be considered.
- Administrative and budgetary skills.
- Strong sense of organisation and prioritisation, structured approach, problem-solving mindset, intellectual curiosity.
- Team and collaboration spirit, while ability to work in autonomy.
- Excellent written and oral communication skills (presentations, reports, notes, agendas…).
- Ability to coordinate with multidisciplinary teams (colleagues, regional civil servants, politicians, young volunteers, service providers).
- Fluency in English (C2), French (C1 minimum) and Spanish (B2 minimum). Candidates not matching these requirements will not be considered, as these languages are essential to work with the Eurodyssey members.
- Digital skills: WordPress, Google Workspace, video conferencing, collaborative platforms (e.g. Slack)
- Legal right to work in Belgium.
- Willingness to travel in Europe for AER events (e.g. Summer Academy, Eurodyssey Forum, YRN General Assembly, AER General Assembly).
Key Information
- Contract: Full-time permanent contract, 38h/week
- Location: Brussels
- Salary: €2,800-€3,200 gross per month (dependent on experience)

- Onboarding: the selected candidate will benefit from the former job holder’s handover, and from training on the Eurodyssey website and on the AER’s workspace.
